DESCRIPTION

Reporting to the Managing Director and working closely with the Artistic Director, the Executive Assistant and Artistic Coordinator plays a critical role in supporting the work of the Executive Office and Artistic Department. Qualified candidates will be able to support the achievement of institutional goals by providing exceptional organization, efficiency, and follow through. The individual is responsible for the smooth operation of the executive office, manages the Artistic Director and Managing Director calendars and travel, builds and maintains the Executive office budget, and coordinates institutional meetings and gatherings. The Executive Assistant and Artistic Coordinator also works closely with the Associate Artistic Director to provide administrative support for the Artistic Department. S/he handles script requests, maintains casting records, manages the casting budget, and supports the coordination of casting sessions.

KEY RESPONSIBILITIES

EXECUTIVE OFFICE ADMINISTRATION

Manage Artistic Director and Managing Director calendars, coordinating with all departments and Studio Theatre stakeholders to schedule and organize meetings, taking minutes when appropriate

Arrange all Artistic Director and Managing Director travel

Maintain and update Artistic Director and Managing Director contacts and digital and paper files

Maintain, update, and ensure accurate tracking of Executive budget, ledgering all expenses

Assist in the planning and execution of the annual Holiday Party, Staff Retreat, and other all-staff events

Build institutional calendars for Board Meetings, Committee Meeting, and All Staff Meetings

Assist Artistic Director and Managing Director with special projects to support artistic and strategic goals, as assigned

ARTISTIC ADMINISTRATION

Send and track all script requests for the Literary Department and Literary Committee

Oversee maintenance of Artistic and Casting records, both digital and paper files

Maintain, update, and ensure accurate tracking of casting budget, ledgering all expenses

Manage and process payment for audition consultants, including readers and NYC Casting Directors

Coordinate with NYC Casting Director to schedule audition dates, arrange travel, prepare breakdowns and sides, and book audition space

Assist Associate Artistic Director in onboarding Artistic Apprentices and Casting Interns

Support Associate Artistic Director with casting projects, as assigned

POSITION REQUIREMENTS

Studio Theatre is an energetic, fast-paced, and creative environment. To join our team, we require strong organizational and project management skills, attention to detail, and ability to function as both a team player and a team leader. Candidates will be able to manage and execute multiple processes, work on tight deadlines, and possess an instinct to take initiative and ownership of outcomes.

At least two years administrative experience in a collaborative environment is desired.

Excellent interpersonal and communication skills are essential, both written and verbal.

Must possess a strong work ethic, have confidence, be organized, take initiative, and be a self-motivated, enthusiastic team player.

Ability to think creatively and logically is essential.

The ideal candidate can organize and prioritize multiple simultaneous projects, including both near- and long-term projects, successfully.

This would be an excellent position for someone who wants to build an artistic career that marries both producing and administrative skills.

Some evening and weekend hours for performances and events required.
